1. Do I do it like everyone else, or like me? If you use your own categories, your own codes or your own rules, a ready-made tool will force you to change. Most people do not tolerate that for long.
2. How often do I do it? Once a month? Ready-made, without overthinking it. Ten times a day? Every extra click multiplies, and custom starts paying for itself.
3. Does it need to talk to something else? If you want it to connect with your POS, your accounting system or your catalogue, ready-made usually stops there. That is the clearest sign.
4. Who else will use it? Only you? Whatever makes sense to you is fine. Three people in the shop with different skill levels? It needs to be built for them, otherwise they will go back to the notebook.
5. What is it costing me in time right now? Half an hour a week is 26 hours a year. Put a value on your time and compare it with the cost of building the tool. Often the answer appears on its own.

The middle option most people miss
You do not have to choose from the start.
Start with ready-made. Use it for one month. You will learn something much more useful than any theory: what exactly is missing. Then, if you decide to build your own, you will not start with “I want something for expenses” — you will start with “I want this, but with three of my own categories and an export button for the accountant”.
That second description is worth money. It is the difference between a tool you use and a tool you forget.
